Planned maintenance software for equipment, boilers and machinery

Yearly or six-monthly maintenance lives in a diary, and when a customer calls nobody remembers what was done last time on their equipment. Custom software keeps the history of every unit and builds the schedule of upcoming visits by itself.

Call-outs and planned maintenance are different jobs

A call-out starts with a phone call: something broke and the customer is waiting. Planned maintenance starts from a contract or a rule: this boiler gets checked every twelve months, that machine every 500 hours. The first has to be handled fast, the second has to be planned, and whoever forgets it loses the contract or ends up with a unit out of action.

For call-outs there is field service software. This page is about the part that repeats.

What the software keeps

Every unit has its own record: where it is, who owns it, model, serial number, installation date. Then there is the contract, with the visits it includes, and the inspection plan, with a different checklist for each type of unit or machine.

Every visit stays in the unit's history, with parts replaced, readings taken and photos. After a few years that history shows what breaks most often, and when it makes sense to suggest a replacement.

The visit schedule builds itself

From the dates of the last visits, the software works out the next ones. In the office you see what is due this month, group visits by area and assign them to technicians. The customer can get an email announcing the visit, and missed visits stay flagged until someone does them.

How we start

  1. You explain how your contracts work and send me an inspection form. This first analysis is free.
  2. The list of units is imported from your spreadsheet, with the dates of the last visits.
  3. The office visit schedule comes first, then the technicians' app with checklists and signatures.

When you don't need it

With a few dozen units and a single technician, a calendar with repeating reminders may be enough. Custom software pays off when there are many units, contracts with different rules, and a technician who needs each unit's history on the phone while standing in front of it.

Frequently asked questions

Does the software know when the next service is due?

Yes. For each unit you set how often it needs checking, and the next visit is calculated from the last one done. You see this month's visits and the ones already overdue.

Does it work for boilers?

Yes, for keeping units, visits and the history of each one. You know the inspection rules, and the software follows them as you set them. I have built maintenance software before, and the analysis still starts from your own forms.

Can the technician see the unit's history on site?

Yes, on the phone: earlier visits, parts replaced, photos. With the job sheet app they also close the visit there, with the customer's signature.
