Software for construction companies in Italy: sites, documents and deadlines
In a construction company, money is lost on site and documents expire in the office: hours logged badly, progress reports made by hand, DURC and the credit licence to check for every subcontractor. Custom software puts each site in one place.

Why generic software isn't enough
I have worked with construction companies before, and the problem repeats. Jobs last months, crews move between sites, other firms do part of the work, and the amount is billed in stages. Software designed to sell products has none of this.
What the software holds
- each site with client, address, quote and assigned people;
- hours per person and per site, logged from a phone;
- materials, hire and expenses, with the margin updated as work goes on;
- progress reports, with amounts already invoiced and still to invoice;
- dated photos and daily notes for each site;
- subcontractors, with their amounts and documents.
The documents that expire
This is where custom software makes a difference, because each deadline becomes a warning and a block, instead of a sheet to remember. These are the Italian rules to track, as read on 31 October 2026:
- DURC, the certificate of contribution compliance, which lasts 120 days, yours and that of those working with you;
- the credit licence (patente a crediti), required since 2024 for anyone working on sites, starting at 30 credits, with no site access below 15: the software holds the number or exemption of each company and self-employed worker;
- the labour-cost compliance DURC, which for private work applies from 70,000 euros and must be requested before the final payment;
- workers' ID cards, medical checks and training courses.
The site badge is worth waiting for. Decree-law 159 of 2025 provides for a card with a unique anti-counterfeiting code, but the decree saying how to make it had not been published as of 31 October 2026. When it arrives, the software can hold the codes and print the cards. Until then the usual card stays.
What is really useful is a site that shows green or red: before letting a firm in, you know whether its papers are in order. The rules remain to be checked with your adviser: the software holds the dates, the responsibility stays yours.
How to start
- We look at a closed site: quote, hours, costs, progress reports. The analysis is free.
- The first version holds sites, hours and document deadlines, because that is where the problems come from.
- Then we add progress billing, materials and subcontracts, in milestones paid one at a time.
The margin calculation is explained on the job tracking page, which is the same base. For deadlines see deadline tracking. If everything sits in a spreadsheet today, we start from that.
When ready-made software is enough
For a small firm with two or three sites a year, a good spreadsheet or a trade program can be enough. Custom pays off when you have several sites open together, subcontractors to check and an office copying data from three places.
Frequently asked questions
Do workers have to log hours on a phone?
A few taps are enough, and the site manager can do it for the whole crew. We pick the way that will really get used: if the phone stays in a pocket, the software is pointless.
Does it work on a site with no signal?
Yes. The app is built as a PWA that works offline: data is saved on the phone and goes out when the connection returns.
Does it replace the payroll consultant or the accounts?
No. Payroll, accounts and filings stay with their programs and your advisers. The software holds hours, costs, documents and deadlines, and passes the data to whoever needs it.
Do I need bills of quantities too?
Usually not: you keep the program you have, and import the quote items into the software. We look at it case by case in the analysis.
