Software for installers and maintenance firms in Italy
An installer doesn't only sell hours: they sign documents. Compliance declarations with their attachments, logbooks, inspection reports, F-gas work to report within 30 days. Custom software starts from the system and keeps its whole history.

The system is at the centre
Generic software thinks in customers and invoices. An installer thinks in systems: the boiler in that block of flats, the chiller in that bar. Each system has a serial number, a history of work and its documents, and often changes owner while staying where it is.
I have worked on maintenance software and job-sheet apps with customer signatures. What comes on top here is the part about regulations, which in generic software ends up in a folder of PDFs.
The documents to keep together
These are the Italian rules met most often, as read on 31 October 2026:
- the compliance declaration (DiCo) under Ministerial Decree 37 of 2008, which the installer issues at the end of the work, after checks, with the required attachments;
- the system logbook for heating systems and the energy efficiency inspection reports, under Presidential Decree 74 of 2013;
- in Lombardy, the CURIT register, where heating systems must be recorded;
- for those working with fluorinated gases, reporting to the F-gas database within 30 days of installation, first leak check, maintenance or repair and decommissioning, with no minimum quantity.
The software doesn't replace these portals. It makes sure each job leaves its document, and that no report is left behind.
What the software does
- a record for each system, with customer, serial number, photos, work and documents;
- scheduled visits, generated from the contract and the system;
- the job sheet on the phone, with the customer signing on screen;
- the compliance declaration, filled in with the data already there;
- the list of F-gas reports due, with the days left;
- spare parts used, taken off the van or warehouse stock;
- from job sheet to draft invoice, with no retyping.
The job sheets are explained on the field service page, contracts and scheduled visits on the maintenance planning page. This page adds what is specific to the trade.
How to start
- You send me a job sheet, a sample declaration and the list of systems you have, in Excel too. The analysis is free.
- We start from systems, visits and job sheets.
- Then come declarations, F-gas and invoices, in milestones paid one at a time.
Before everyone gets it, one or two technicians try the app, and whatever doesn't work in the field is fixed.
When ready-made software is enough
There are trade programs for boiler and refrigeration technicians, with forms ready to use. If your work fits inside one, start there. Custom pays off when you do several trades together, have particular contracts, or the software has to talk to what you already use in the office.
Frequently asked questions
Does the software send data to CURIT or the F-gas database by itself?
It depends on what those portals allow. Usually I prepare the data ready to enter and a list of what is missing, so no report is left behind. If there is an official sending channel, we look at it.
Can I print the compliance declaration from the software?
Yes. The form is filled in with company, customer and system data, and the required attachments are linked to the file. The signature and responsibility remain yours.
Does it also work for electricians and plumbers?
Yes, Decree 37 of 2008 covers them too. The linked documents change: logbooks for heating, F-gas for refrigeration. The software is built around what you do.
How do I start if I have many systems?
We import the list you have, from Excel too, and complete the data when a technician next visits the system. You don't have to enter them all before starting.
