WhatsApp orders that land in your business software by themselves
Customers order with a text, a photo or a voice note, and someone in the office types it all in again. I connect WhatsApp to your business software: the order arrives filled in and you confirm it.

The problem
Orders come in on WhatsApp because customers find it easy: "same 20 crates as last time", a photo of a delivery note, a voice message from the van. Then someone in the office reads it, works out what it means and types it into the system or the spreadsheet. When that person is off, the messages pile up. A missed line shows up when the customer calls.
How I connect it
Your business number moves onto the official WhatsApp Business platform. From there, every message also reaches your software, as it arrives.
An AI model such as Claude or GPT reads the text, the photos and the transcript of voice notes, recognises the customer from the number and tries to turn the request into order lines with your products. "Same as last time" becomes that customer's previous order. Anything that doesn't add up, like a product you don't sell or an odd quantity, stays highlighted.
You see the drafted order next to the original message, fix it if needed and confirm. The software does the rest: stock, delivery, invoice.
How the work goes
I have worked with WhatsApp Business before. This is the usual path:
- We look at a batch of real orders together, to see how your customers write and what the exceptions are.
- I connect the number and test the order reading on old messages, without touching day-to-day work.
- For a few weeks the AI drafts and you confirm everything, so we can see where it gets things wrong.
- Once the doubtful cases are rare, we decide together what can go through without a check.
If you don't have business software yet, we can build it: see Custom business web apps.
What it won't do
It won't answer every customer question for you. An assistant for questions about opening hours or availability can be added, but orders are the better place to start, because that's where the time saved shows straight away. And the AI does make mistakes now and then, which is why a person keeps confirming orders until the numbers say otherwise.
Frequently asked questions
Do I need WhatsApp Business?
Yes, and the connection needs Meta's official business platform, with a dedicated number. The app on your phone isn't enough on its own, and tools that drive WhatsApp Web behind the scenes risk getting the number banned.
Does WhatsApp cost anything?
Meta charges for some messages sent by the business, following its own price list, which varies by country and message type. Before we start, we work it out with your volumes.
What if a customer writes a confusing order?
The AI drafts the order and flags it for review. A person looks at it, fixes it if needed and confirms it: no doubtful order goes through on its own.
Does the customer get a confirmation?
Yes, if you want: when you confirm the order in your software, the customer gets a WhatsApp message with the summary.

Write to me
Attach two or three screenshots of real orders that came in on WhatsApp (feel free to hide names and phone numbers) and tell me what you use for orders today. If it's a spreadsheet, attach that too.
