Custom order and inventory software, in the cloud

Orders arrive by email, by phone and from the website, stock lives in a spreadsheet updated whenever someone remembers, and the supplier order goes out once the item has already run out. Custom software keeps customer orders, supplier orders and stock levels in the same data.

When orders start slipping through the cracks

  • A customer asks where their order is, and the answer means searching three different places.
  • An item shows as available on the website but the shelf is empty.
  • The supplier order goes out once the product has already sold out, and the customer waits.
  • At the end of the year the stock count doesn't add up, and nobody can say why.

What the software keeps track of

Customer orders, wherever they come from, in a single list, each with its status: to prepare, ready, shipped, delivered. Supplier orders, with what has arrived and what is still missing.

Stock isn't edited by hand. Every item in and every item out is a movement, and the stock level is calculated from the movements, so you can always trace where a number came from. Each item can have a minimum level, and below it you get an alert.

Items can have size and colour variants. Supplier price lists are imported from Excel with a preview, as in the Dracartys CRM, before any price actually changes.

Orders from your online shop and marketplaces

If you also sell online, website orders land in the software without being retyped. The Dracartys CRM is connected to WooCommerce, eBay and Vinted, with a single stock figure across every channel, so the same piece is never sold twice. Other connections are covered in Integrations and automation.

How the switch works

  1. We walk through one order together, from the customer's request to shipping. This first analysis is free.
  2. Items and stock levels are imported from your spreadsheet with a script that can run again without creating duplicates.
  3. On switch-over day there is a stock count, and from then on only the movements in the software count.
  4. The links to the website and marketplaces come in stages, one at a time.

If your stock lives in a spreadsheet today, the page on moving off a spreadsheet explains how to switch without stopping work. If orders start from a quote, see quoting software.

Frequently asked questions

What does cloud inventory software mean?

The software sits on a server and runs in the browser, from any computer or phone. The server can be yours, or I set one up and look after it, with a backup every day.

Does it handle size and colour variants?

Yes. In the Dracartys CRM every product has its own variants, each with a purchase price, a list price and a selling price.

Can it connect to our online shop?

Yes. The Dracartys CRM is connected to WooCommerce, eBay and Vinted. For other platforms we first check what their APIs allow.

Does it do invoicing too?

It connects to your invoicing system: in Italy that means e-invoicing, and my own CRM is linked to fatturapa.com. Rebuilding invoicing software from scratch is rarely worth it.
