Syncing stock across WooCommerce, eBay and Vinted

You sell the same item on your site, on eBay and on Vinted, and sooner or later you sell it twice. WooCommerce and eBay connect through APIs. Vinted doesn't, unless you have its restricted API, but you can still run one stock list, knowing where a person is needed.

Three doors

The three channels don't open the same way.

WooCommerce is the easiest door: it has a REST API and webhooks, so orders come in as they arrive and quantities can be written from your software to the site.

eBay has official APIs with OAuth access: you can create listings, read sales and update quantities. The work is in registering the application and in the rules for categories and each product's item specifics.

Vinted is the special case. It has an API for Pro sellers, but its page says it is for those who are selected. With a normal account there are only unofficial tools that read or publish on your behalf. I don't use them, because they put your account at risk. So with Vinted part of the job stays manual, and that should be said up front.

How to organise it

You need one place in charge: the business software. The real quantities live there, and each channel receives or sends them.

  • Each item has a code that identifies it on every channel, with a table saying what matches what.
  • A sale on WooCommerce or eBay arrives by itself and lowers the stock.
  • The new quantity goes out to the other connected channels.
  • A Vinted sale is recorded in the software with one click, and the rest follows from there.
  • If a one-off sells elsewhere, the software flags which Vinted listing to remove.

Slow-moving items can stay on one channel at a time. Fast-moving ones can have a small safety margin, showing one piece fewer online than you really have.

The Dracartys case

The CRM I built for Dracartys keeps the stock and prepares listings from the products in the WooCommerce shop, with text and categories written with AI too. Orders from the site enter the CRM every hour and become sales.

eBay listings go out from the CRM through the official APIs. For Vinted I wrote a browser extension: the CRM prepares the listing, the extension fills in the sell form on the Vinted site, and a person checks and confirms publication. When the item sells, the sale is recorded in the CRM. It is a good compromise for a normal account: no bots, and less copying.

How much is worth automating

It depends on orders. With a few items a day, one stock list and a sale recorded by hand are enough. With dozens of orders it pays to connect everything that has an API and leave only Vinted manual.

The basic work is the same as connecting your online store. If you have no business software yet, start from orders and stock.

Frequently asked questions

Does Vinted have an API?

It has one for Pro sellers, and its page reserves it for those who are selected, with 4-6 weeks of integration work. With a normal account there is no official route.

Is there ready-made software for this?

For WooCommerce and eBay, yes: there are plugins and subscription services. If you sell only on those two, start with one of them. Custom work pays off when your own business software is involved, or Vinted.

I sell one-offs. Does that change anything?

Yes. With a one-off, a double sale means refunding a customer. The first channel to sell should close the others straight away: the site and eBay can do it automatically, the Vinted listing has to be removed by hand, and the software reminds you.

How often does stock update?

With WooCommerce webhooks an order arrives as soon as it is placed. Otherwise it is read at fixed intervals: the shorter the interval, the smaller the window for a double sale.
